Special Events

The City of Woodland encourages the community to use its parks and facilities. Whether you are planning a private event or a public event, we are here to assist you through the whole process. 

What is a Special Event?

A special event includes any activity that is open to the public or hosted by a private group that uses City property, such as parks, facilities, streets, sidewalks, or right-of-ways. This includes activities/events , but is not limited to, fishing derby, parades, fairs, church services, athletic events, performances, dog training/events, ect. 

How do I reserve a date(s) for my Special Event?

To reserve a date, please contact City Hall before applying for a special event permit. Once you have checked with the Clerks office for a tentative date, please fill out the special event application.

How to Apply for a Special Event Permit

Please submit your Special Event Packet 6 to 8 week prior to the event. When submitting your special event application, please be sure to also include all additional documents. This will ensure your application is reviewed and processed in time for your event. Documents that may be required vary depending on the event details.

Documents to include with every special event application: 

  • Timeline of the Event 
  • Detailed Map of the Event Location
  • Detailed Event Plans
  • Certificate of Insurance

Additional documents to include if they apply to your event:

  • Fireworks Permit - Submitted through Clark-Cowlitz County Fire
  • Traffic control plan
  • Right-of-Way Permit

Application Process:

  • Fill out the Special Event Form and attach the required documents listed above before submitting your application. 
  • An email conformation will be sent to you once you application have been received by City Hall. 
  • A $75 non-refundable application fee is required to be paid before your application is sent for review. At this point your date(s) are tentatively held pending approval.
  • City Department Heads will review, comment and recommend approval or respond back to  applicant with any revisions. 
  • Once the Special Event has been approved by City Department Heads, the event fees must be paid in order to reserve your event dates. Fees include a damage deposit that is refundable at the end of the event and a non-refundable fee. Fees are determined by the Fee Resolution (see below for the most current Fee Resolution). 

A copy of the permit must be on site and available on the day of the event.
